Program terms and conditions

Written to be read once and understood, rather than skimmed and agreed to. Fourteen clauses, no cross-references to documents you cannot see.

Effective 12 January 2026. Last updated 27 July 2026. These terms apply to everyone who participates in a BW Staff Rewards program, whether as a staff member earning and redeeming points or as an employer operating a program.

1. Who The Parties Are

The program is operated by BW Staff Rewards Pty Ltd (ABN 00 000 000 000), referred to here as "we" or "us". Your employer is the organisation that has engaged us to run a program for its staff. "You" is whoever is reading this in the capacity of a participant.

We are not your employer and these terms do not create an employment relationship between us. Your employment is governed by your contract, award or agreement, none of which are affected by anything on this page.

2. Eligibility

You are eligible while your employer includes you in the team record it maintains on the platform. Which earning categories are available to you, and how many points each is worth, is configured by your employer and set out on the eligible products page and in your account.

3. What Points Are

Points are a record of an entitlement to redeem rewards through the platform. They are not currency, not property, and not wages.

  • Points have no cash value and cannot be exchanged for cash.
  • Points are not paid through payroll and do not form part of your ordinary earnings.
  • Points cannot be transferred to another person, sold, or used as security.
  • Points are not counted toward superannuation, leave accrual or termination payments.

The conversion rate is one hundred points to one dollar of redemption value. We will not change that rate for points already sitting in your account.

4. Earning Points

Points are issued when an eligible event occurs and is verified. Verification is immediate for peer recognition and manager awards; for anything checked against a roster, learning system or payroll file it happens on the next nightly sync.

An award made in error can be reversed by your employer's administrator within fourteen days, provided the points have not already been redeemed. After redemption the transaction is final.

5. Redeeming Points

You can redeem any time your balance is at or above five hundred points. Digital rewards are delivered to your account immediately. Physical rewards ship to a delivery address you enter yourself; we do not use an address supplied by your employer.

The catalogue changes. A reward available today may not be available next month, and we make no promise that any particular reward will remain listed.

6. Expiry

Points do not expire while you are employed and your employer's program is active. There is no quarterly reset and no use-it-or-lose-it deadline.

7. Leaving Your Employer

Earning stops on your last day. Your account stays open for sixty days afterwards so you can spend what you have already accrued, and we email you at the address on the account when that window opens and again seven days before it closes.

8. Suspension

We may suspend an account where we have reasonable grounds to believe it is being used fraudulently — for example, reciprocal recognition arranged purely to farm points, or access by someone other than the account holder.

Suspension is not a penalty and is not permanent. We will tell you why, in writing, within two business days. Points are not forfeited during a suspension; they are held until the matter is resolved.

9. Your Privacy

We collect your name, work email address, employment start date and the transactions in your account. We collect a delivery address only when you redeem a physical reward, and it goes to the supplier fulfilling that order and nowhere else.

Your employer sees aggregate participation and redemption data. It does not see the individual rewards you choose. We do not sell personal information and we do not use it for advertising.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. To access or correct your information, email us.

10. Faulty Or Undelivered Rewards

Goods and services obtained through the catalogue are supplied by third parties. Your rights under the Australian Consumer Law apply to them and nothing in these terms limits, excludes or modifies those rights.

Tell us if something arrives faulty or does not arrive. We will take it up with the supplier, and where a claim is accepted and the reward cannot be replaced, we will restore the points to your account.

11. Availability

We aim to keep the platform available at all times but do not guarantee uninterrupted access. Planned maintenance is notified in advance and scheduled outside Australian business hours wherever possible.

12. Liability

To the extent permitted by law, and subject to clause 10, our liability in connection with the program is limited to restoring points that were incorrectly deducted or failed to be issued. We are not liable for indirect or consequential loss.

Nothing in this clause excludes any liability that cannot lawfully be excluded, including under the Australian Consumer Law.

13. Changes To These Terms

We give thirty days notice before any change that reduces the value of points already issued or removes a reward category. Other changes take effect when published here, with the updated date shown at the top of this page.

A change to these terms never reduces or revalues points already in your account.

14. Governing Law And Contact

These terms are governed by the laws of Victoria, Australia.

Frequently Asked

What happens to my points if I leave my employer?

Earning stops on your last day. You keep access to your account for sixty days after that date so you can redeem the balance you have already accrued. Any balance remaining after sixty days is forfeited and returns to the employer's account.

What happens if my employer ends the program?

The employer must give participants at least thirty days notice. During that period earning stops but redemption continues, so every point already issued can still be spent.

Can points be exchanged for cash?

No. Points have no cash value, cannot be paid through payroll, cannot be transferred to another person, and cannot be sold. They can only be redeemed for rewards available in the catalogue at the time of redemption.

Who is responsible if a reward is faulty?

The supplier of the reward. Your rights under the Australian Consumer Law apply to goods and services supplied through the catalogue and are not limited by these terms. We will help you contact the supplier and, where a claim is accepted and the reward cannot be replaced, we will restore the points.

How much notice is given before the terms change?

Thirty days for any change that reduces the value of points already issued or removes a reward category. Other changes take effect when published. Points already in an account are never reduced or revalued by a change to these terms.
